Make response time someone’s responsibility

Patients often contact more than one practice, particularly when researching implants, orthodontics or cosmetic dentistry. A prompt, personal response builds confidence while their interest is still active.

Set a response standard for telephone calls, website forms, emails and social media messages. Assign ownership so enquiries are not left between reception, marketing and the Treatment Coordinator.

Understand before you explain

Information is useful, but giving too much too quickly can overwhelm the patient. Begin with open questions about what prompted the enquiry, what they hope to change and any concerns about treatment, timing or previous experiences.

Listening helps the team recommend an appropriate consultation and explain the details that matter most to that individual. It also makes the conversation feel supportive rather than scripted.

Communicate the value of the next step

Patients need to understand what the consultation includes, who they will meet and how it will help them. Simply stating a fee and asking for a booking can make the appointment feel like a transaction.

Explain the purpose, likely duration and outcome of the consultation in plain language. A confident recommendation gives the patient a clearer reason to proceed.

Make booking easy and specific

Offer a clear next step and suitable appointment choices rather than ending with a vague invitation to call back. Confirm the details promptly and provide useful information that prepares the patient for their visit.

Where a patient is not ready, agree when and how to follow up. Permission-based follow-up is helpful, professional and less likely to feel like pressure.

Use the data to improve the journey

Track where enquiries come from, how quickly they receive a response, whether they book, attend and proceed, and the reasons they do not. This connects dental marketing performance with the patient experience delivered by the team.

Review the information regularly with reception, Treatment Coordinators and leadership. Small improvements to conversations, diary options and follow-up can increase consultation bookings without increasing advertising spend.
